Invoices:
fill in the items, send on WhatsApp

On the DuitLedger home screen, tap Invoice and fill in the customer's name, phone and items. The total adds itself up. Tap Create invoice, then download the PDF, print it, or tap Send to customer via WhatsApp. The income is recorded at the same time.

Which plan do I need?

Every plan can make invoices. The difference is the logo on the invoice, and whether you can make one by voice.

Not paid yet? Set Payment status to Unpaid (credit) and the income is not recorded yet. When the customer pays, go to Money → Unpaid invoices and tap Mark as paid; then it is recorded as income.

What is on the invoice?

Your business detailsFill them in once under Settings → Business details and every invoice shows them.
Customer detailsCustomer or company name, phone and address (the address is optional).
Items and totalItem, quantity and unit price; subtotals and total are worked out for you.
Payment detailsYour bank details are printed at the bottom, so customers know where to pay.

Step by step

  1. Open Invoice

    Under Quick Actions on the home screen, tap Invoice.

    On Premium you can tap the microphone and say, for example, "Customer Mr Tan, phone 012 345 6789, durian 3 kg at 20 ringgit per kg, bank transfer", then check it and tap Add items.

  2. Fill in the customer and items

    Fill in the customer, phone and address, then tap + Add item for each item, quantity and unit price. Choose the payment status and payment method.

    The total adds itself up, so there is no need for a calculator.

  3. Create it and send it

    Tap Create invoice. When it says the invoice was created, tap Download PDF, Print / Save PDF, or Send to customer via WhatsApp.

    Paid invoices are recorded as income straight away, so you never enter them twice.

How does sending on WhatsApp work? It opens WhatsApp with your customer's number and the invoice details filled in; check it and tap send. To send the PDF, tap Download PDF first and attach it in WhatsApp.

Questions

Can I make invoices on the Free plan?

Yes. Free plan invoices have a DuitLedger logo in the middle; from Basic up there is no logo.

Is the invoice recorded in my books?

Yes. Invoices marked Paid are recorded as income when you create them. Unpaid (credit) invoices are recorded when the customer pays and you tap Mark as paid under Money → Unpaid invoices.

Can I make an invoice by speaking?

Yes, voice invoicing comes with Premium. Tap the microphone on the invoice page and say it in one sentence; check the items and tap Add items. Please use the Chrome browser.

Does an invoice deduct stock?

Yes, from the Basic plan. Items picked from your stock are deducted when you create the invoice. Basic allows up to 5 products; Premium is unlimited.

Where do I change the business details on the invoice?

Under Settings → Business details. Change it once and every new invoice uses it.

Can I make quotations?

Not yet. DuitLedger makes invoices and receipts; quotations are not available.
